The timber industry has changed dramatically over the past few decades. What was once driven by manual processes and paper-based systems has evolved into a fast-moving, highly connected environment where accuracy and visibility are essential.

As operations grow, so does the complexity behind them, and for many timber businesses, their systems simply have not kept pace.

At a certain point, it becomes clear.
Your business is performing well, your team is capable, your customers are loyal, but your systems are holding you back.

In today’s market, that is a risk you cannot afford.

The Challenge with Generic ERP Systems

Most ERP systems are designed with standard industries in mind where products follow predictable formats, inventory is uniform, and units of measure are consistent.

Timber does not fit that model.

From the moment a log enters the yard, it begins a transformation process that many generic systems struggle to track effectively. Materials change form, value, and classification multiple times throughout their lifecycle.

What starts as a raw log can move through stages such as:

  • Green packs
  • Kiln drying
  • Treatment processes
  • Finished timber products

At each stage, variables like size, grade, species, and volume shift, creating a level of complexity that standard ERP platforms were not built to manage.

Where Systems Start to Break Down

Because generic systems are not designed for these realities, timber businesses often rely on workarounds to keep operations running smoothly.

This can look like:

  • Spreadsheets running alongside core systems
  • Manual data checks and reconciliations
  • Disconnected information between departments
  • Limited visibility across the supply chain

Over time, these temporary fixes become part of everyday workflows.

The issue is not always obvious at first, but the impact builds over time.

Still relying on spreadsheets to fill system gaps?

The Hidden Cost of Inefficiency

When teams are constantly working around system limitations, it creates friction across the business.

Time is spent verifying data instead of acting on it.
Decisions are delayed due to lack of real-time visibility.
Opportunities can be missed because systems cannot respond quickly enough.

In an industry where margins are tight and competition is strong, even small inefficiencies can impact:

  • Profitability
  • Customer satisfaction
  • Operational scalability

Your system might not be failing outright, but it could be slowing your growth more than you realise.

Why Timber Businesses Are Moving Away from Generic Systems

There is a clear shift happening across the industry.

More timber businesses are recognising that to scale effectively, their systems need to reflect how timber actually moves through operations, rather than forcing the business to adapt to rigid software.

The focus is shifting from making systems work to implementing solutions designed specifically for timber from the beginning.

That means asking better questions, such as:

  • How does inventory evolve across each stage of production?
  • Where are the gaps in visibility from yard to dispatch?
  • What information is critical for confident sales decisions?

The answers to these questions should shape the system.

A Smarter Approach to Timber ERP

This shift is not just about upgrading technology. It is about improving how the entire business operates.

The right system should bring together your people, processes, and data into one cohesive environment. It should support the complexity of timber without sacrificing accuracy.

With decades of experience working within the timber industry, TimberSmart has been developed to align with real-world operations across inventory, processing, and logistics.

Electronic Document Exchange (EDI)

TimberSmart One solution, timbersmart Australia

What is the TimbersmartOne Electronic Document Exchange (EDI) solution?

Our TimberXchange solution simplifies transactions with your suppliers (local and international) by sending electronic purchase orders, and receipting packets via download into your system. Similarly, your customers can benefit by placing their purchase orders electronically into your system, and receipting your invoices into their TS1 system.

How it works

TimberXchange slashes the administration effort related to purchasing, and receipting packets of timber, anyone who has previously manually keyed packet tallies into their system and then moved to a simple electronic import never looks back. Product mapping between customers and suppliers ensures that the right product is ordered, delivered and receipted into your system. As awareness of the benefits of EDI have grown over time, many customers now insist on some form of this to reduce administration effort across their business.  Customers that sign up are often surprised by the coverage of suppliers we can provide for both local and imported products.

Finance Interfaces

TimberSmart One solution, timbersmart Australia

What is the TimbersmartOne Finance System?

The Finance Solution reflects that over the years, finance systems like XERO and MYOB have developed into great desktop and cloud solutions, and we have read this trend and developed finance interfaces that allow you to sue your preferred system, and TimberSmart is a best of breed overall solution.

How it works

Our Finance Interfaces range from XERO, MYOB, SAGE, Intacct and Reckon and cover desktop and cloud/online versions, we can work with your business to accommodate the finance system you use. Most customers send customer invoices to the finance system for credit management, accounts receivable and reporting, and some bring customer information back into TimberSmart to support credit control during order and despatch processing, and provide a view of the customer credit/account status to the Sales Team.

Manufacturing

TimberSmart Australia Manufactoring solution worldwide timber solutions

What is the Manufacturing Solution?

The Manufacturing Solution supports further processing operations such as moulding, treatment, docking, components, finger jointing, lamination or painting/priming where you can transform timber into value added components. With a focus on jobs, and costing we can provide reporting that track your, inputs, outputs, recoveries and margins so you remain competitive and maintain your profit margins.

How it works

In our Manufacturing solution, the focus is on purchasing of products to obtain the required feedstock, receipting and managing inventory combined with production runs/orders that represent the target product(s). As inputs are issued to the production run, we accumulate costs in line with the activities and as receipts occur, we can track recoveries, and expected production versus actuals. In some scenarios, BOM’s represent the planned combination of inputs to product the target product, for example pallet manufacturing which simplifies the planning and consumption of multiple inputs. Dashboard and comprehensive reports let you know where you are at all times.

Wholesaling

TimberSmart Australia Wholesaling solutions for the timber industry

What is the Wholesale solution?

The Wholesaling Solution includes purchasing, receipting and inventory management through to order processing, order picking, load planning and despatch, we understand that customer relationships and providing quick turnaround times for order to fulfilment is critical. You will have access to the key information you need, when you need it so you can expedite the process.

How it works

In our Wholesaling solution, purchasing in product either locally or importing with pricing by supplier and product a key function, price lists simplify management and dashboards track progress of purchases v receipts, including inbound vessels and containers. A huge advantage many of our customers enjoy over other solutions is the use of EDI which dramatically slashes administration effort across purchasing, and innovatory receipting. Purchase orders can be sent via EDI, and inbound packets can be receipted via a simple interface with key information including the tally. With a shorter order to fulfillment cycle, the focus is on order entry, order management and streamlined order picking using handhelds to reduce the paperwork keyed back in the office.

Sawmilling

What is the Sawmilling solution?

The Sawmilling Solution follows the flow of the timber through the mill. It begins with log inventory, flows through the Green Mill, Kilns, Dry Mill, Treatment, and Docking through to finished goods, inventory management, order processing, order picking, load planning and despatch. You can use standard or actual costing which accumulates as the product moves through the sawmill, and value is added at each stage. Dashboards always let you know where you stand quickly and easily.

How it works

The Sawmilling solution follows the flow of the timber through the mill. It begins with log inventory, flows through the primary cutting processes in the Green Mill and ends in the production of sawn timber at the bin sorter or on the green table. The system then tracks and accumulates costs associated with the pack of timber as they pass through the subsequent processes such as treatment, kiln drying, and/or dressing and treatment. A key difference in TS1, compared to standard ERP systems, is how timber is tracked through processes which completely consume the issued pack, this history is recorded when the new pack is created providing a complete history from log to inventory packet. TS1 also enables timber available for sale to be identified and allocated to customers with relevant information including quantity, price, and timing. The system enables dispatch to plan loads, advise carriers about loads. Invoices are generated from within Ts1 and can be printed, emailed, or sent by electronic transfer systems such as TimberXchange. The system has comprehensive querying and reporting capability.

TimberSmartOne

TimberSmart One solution, timbersmart Australia

What is the TimberSmartOne (TS1) system?

The TimberSmartOne system (TS1) is our flagship ERP solution, it has grown over many years into a comprehensive modular based product, while we have our core solution, we often find our customers are so varied in their business focus that they may use more or less of the entire system. We work with them during implementations to streamline and tweak reporting to provide exactly what they need.

How it works

The TimberSmartOne solution covers scenarios as diverse as forestry management to log purchasing, sawmilling wholesaling, manufacturing and electronic trading. As such, while the system looks similar across most of our customers, there are key differences which result in different ‘flavours’ as below, and some customers may run one or more of these in combination depending on their scope of operations. We are always ready to work with our customers to deliver the system configuration they need to be successful.
